Privacy policy
We're a small local business, and we treat your details the way we'd want ours treated: we only collect what we need to do the job, we don't sell it, and you can ask us what we hold at any time.
This policy is from Cape Kitchens Pty Ltd (ABN 75 690 108 395, ACN 690 108 395), 34 Minchin Way, Margaret River WA 6285 — "we", "us" and "our". It explains how we handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. It covers this website, our customer pages at maud.capekitchens.com.au, how we work with customers, job applicants, suppliers and trades, and the MAUD Go app our team uses.
1. What we collect
If you browse the website
Nothing that identifies you. We don't use analytics, advertising trackers or tracking cookies. Our web host keeps standard technical logs (like IP address and browser type) to run and protect the site — see section 7.
If you send an enquiry
Your name, email, phone number, suburb or address, what you're after, rough budget and timeframe, anything you tell us about your project, and which page you sent it from. If you fill in a lead form on one of our Facebook or Instagram ads, Meta passes us the details you entered and which ad it was.
If you become a customer
Everything we need to design, build and install your job, such as:
- contact details for you and anyone you ask us to deal with (like your builder);
- your site address and access details, measurements, plans, and photos of your existing space;
- your design choices, selections, comments and questions, and the drawings, proposals and contracts we prepare;
- your signature, typed name and initials when you sign a proposal or contract online, with a record of when and from which device and IP address you signed (section 8);
- emails and text messages you send us, and notes from our calls and site visits;
- invoices and payment records. Our website and project pages never ask for card or bank account details.
If you apply for a job
Your name, email, phone number, the role, your message, your CV, and our notes on your application. If you're hired, we collect what we need to employ or engage you (tax, super, bank and emergency contact details, licences and so on).
If you're a supplier or trade
Business contact details for the people we deal with, and the records of the work and orders between us.
You can ask us general questions without giving your name, but we can't quote, design or book a job without your contact details. We don't ask for sensitive information (like health information); if you tell us something sensitive — for example about access needs at your home — we only use it for your job.
2. How we collect it
Mostly straight from you — through our forms, your project pages, email, text, phone and when we visit your home. Sometimes we get it from someone else, such as your builder, designer or real estate agent, the person who referred you, or Meta when you use an ad lead form. If we receive information about you that we didn't ask for and don't need, we delete it.
3. What we use it for
- To answer your enquiry and give you a proposal.
- To design, order, make, deliver and install your job, and to schedule our team and trades.
- To keep you up to date through your project pages, email and text.
- To invoice, keep accounts, and look after warranty and service work later.
- To consider your job application.
- To run, protect and improve our business and systems, and to meet our legal obligations (like tax and workplace records).
We use it only for these purposes or for something you'd reasonably expect, unless you agree or the law requires it.
No marketing. We only contact you about your enquiry, your job or your application. We don't send newsletters or sell or rent your details to anyone. If we ever do send marketing, every message will have an easy way to opt out.
AI tools. Our job system uses AI tools to help our team find information, draft replies, lay out designs and produce design images. A person on our team checks anything before it's sent to you, and we don't use AI to make decisions that significantly affect you. See section 5 for who provides these tools.
4. Photos of your project
Your contract with us covers photographs of the work: we may photograph the job before, during and after installation and use those photos — for example on this website and our Facebook and Instagram pages. When we do, we name the project by suburb only. We don't publish your name or street address with it. If there's a photo you'd like taken down, ask us and we'll talk it through.
5. Who we share it with
Your information is seen by our team, and by others only where they need it for your job or to run our business:
- Installers, trades and suppliers working on your job — usually your site address, access details and the work to be done. Supplier orders delivered to site show the site address, not your name.
- Your builder or other people you ask us to deal with.
- Our professional advisers (like our accountant or lawyer), insurers, and government bodies where the law requires.
- The service providers that run our systems:
| Provider | What they do for us |
|---|---|
| Supabase | Hosts MAUD, our job-management system, and its files — in Sydney, Australia. |
| ServiceM8 | Job scheduling, bookings, job records and text messages. |
| MYOB | Accounting, invoicing and payroll. |
| Titan (by Flock) | Our email (hello@, accounts@ and staff addresses). |
| Vercel | Hosts this website and our customer pages. |
| Firebase sends notifications to our team's phones (these can include an enquirer's name and phone number). Also the map and fonts on our website, and Gemini, which helps produce design images (it gets images of the design, not your name or contact details). | |
| Anthropic | Claude, the AI assistant our team uses with our job system. It can read job details, messages and emails to help our team. |
| Meta | Facebook and Instagram, including ad lead forms if you use one. |
We choose providers that keep information secure, and they may only use it to provide their service to us. We don't sell personal information.
6. Information that goes overseas
Our main job system is hosted in Sydney. Some of the providers above store or process information outside Australia, mainly in the United States — including Anthropic, Google, Meta and Vercel, and possibly the others, which run on global cloud services. We take reasonable steps to make sure they protect it in line with the Australian Privacy Principles.
7. This website: cookies, maps and fonts
- No tracking. We don't use analytics, advertising pixels or tracking cookies, and we don't build profiles of visitors.
- Hosting logs. Vercel, our web host, records standard technical details of each visit (such as IP address, browser and the page requested) to deliver and protect the site.
- Fonts. Our text font loads from Google Fonts, so your browser connects to Google, which sees your IP address.
- Map. The map in our "Get in touch" section is embedded from Google Maps. Google may set its own cookies when it loads — see Google's privacy policy.
- Social links. Our Facebook and Instagram links take you to Meta's sites, where Meta's privacy policy applies.
- Forms. Enquiry, portal-link and job application forms go straight into MAUD over an encrypted connection — not through a third-party form service. CVs go into private storage that only our team can open.
8. Your project pages
Customers get private links to their portal, proposals, drawings, selections and contracts at maud.capekitchens.com.au. Anyone with a link can open that page, so please keep your links to yourself (if one has got out, tell us and we'll replace it). On these pages:
- We record when a page is opened, downloaded or printed, and the type of browser or device used, so we know you've seen it.
- When you sign online we keep your signature, typed name and initials, the date and time, your IP address and device, and a fingerprint of the exact document you signed — so we can both prove what was agreed.
- Comments, questions, photos and files you add are saved to your job.
- Your browser remembers the name you type so you don't have to enter it again. We don't use cookies or analytics on these pages.
The sample project linked from this website is read-only and isn't a real customer's job.
9. Keeping it safe
We keep your information in our job system rather than on paper or loose spreadsheets. Access is limited to our team members who need it, each with their own login; connections are encrypted; and files like CVs and signed documents are kept in private storage. No system is perfectly secure, but if we ever have a data breach that's likely to cause you serious harm, we'll tell you and the Office of the Australian Information Commissioner (OAIC).
10. How long we keep it
- Enquiries that don't go ahead: 2 years after we last hear from you.
- Job applications and CVs: 12 months after the role is filled — longer only if you ask us to keep you in mind.
- Customer job records (including signed contracts and drawings): 7 years after your job is finished, to cover tax law and warranty or building claims.
- Employee and timesheet records: 7 years, as workplace law requires.
After that we delete it or remove anything that identifies you. Copies in backups are overwritten in the normal course.
11. Seeing or correcting your information
You can ask for a copy of the personal information we hold about you, or ask us to correct it. Email hello@capekitchens.com.au. It's free; we'll check it's really you and reply within 30 days. If we can't give you something (the law allows this in a few cases), we'll explain why in writing.
12. Questions and complaints
If you have a question or think we've mishandled your information, please tell us first — email hello@capekitchens.com.au, call 0468 000 810, or write to 34 Minchin Way, Margaret River WA 6285. We'll respond within 30 days.
If you're not happy with our answer, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
13. MAUD Go app
This section is the privacy policy for MAUD Go, the field app used by Cape Kitchens staff and contractors. Customers don't use it.
What the app collects
Your name and work email (to sign you in); the phone's location when you clock on, start or finish a job, and — only while you are recording travel to a job and have allowed it — when you arrive at that job's site; your time records, including travel, breaks and kilometres travelled, and any edits to them; your home address if you choose to add it (so travel can be worked out); the drives you make while clocked on, for the vehicle logbook (see Location below); photos, notes, checklists, forms and measurements you add to a job, including readings from a Bluetooth laser measurer and room scans; photos of receipts you scan, and the supplier, date and amounts read from them; and a notification token so we can send you job notifications.
Why
To run our jobs: scheduling, time records and payroll, the job record our customers rely on, and notifications about your work. We do not use it for advertising, we do not sell it, and we do not track you across other apps or websites.
Location
The app reads your position when you clock on or check in or out. If you allow "Always", it also watches the job you are driving to, so it can tell when you arrive.
Vehicle logbook. While you are clocked on, the app records your drives — where each one started and ended, the route distance and the times — even when the app is closed. Recording starts when you clock on and stops when you clock off; drives outside your shift are not kept. The phone's motion sensor is used on the phone only, to tell driving from walking, and is never sent to us. Trips in your own car are visible only to you; they are used to work out the kilometres you can claim.
You can change location access any time in the phone's Settings.
Caller ID
If you turn on Caller ID, the app saves the names and phone numbers of the customers, trades and suppliers on your jobs to your phone, so iPhone can show who is calling. The list stays on the phone, and is removed when you sign out. Your own calls are never read or sent to us.
Camera and Bluetooth
The camera is used only when you take a photo, scan a receipt or scan a room. A room scan keeps the room's shape and a 3D model of it on the job. Bluetooth is used only to connect to a Leica DISTO laser measurer, so each measurement goes straight into the job.
Where it is kept
On our job-management system, hosted by Supabase in Sydney, Australia. Notifications are delivered through Google Firebase, which sees only the notification text and the phone's notification token. Access is limited to Cape Kitchens staff who need it. Time records are kept for 7 years, as workplace law requires.
Your choices
You can turn off location, notifications, Caller ID or the Face ID lock in your phone's Settings or in the app's More tab. Face ID is checked on your phone — we never receive it. To see or correct what we hold about you, or for any privacy question, email hello@capekitchens.com.au.
Changes to this policy
We'll update this policy when the way we handle information changes. The current version is always on this page, and the date below shows when it last changed.
